Practicals

Location

Each of our events take place in a different location.

Most of the them will be somewhere in Belgium, although this is not set in stone.

Accommodations

As each of our events has its own location, accommodations might change between events.

​

In general we encourage our participants to sleep in setting-appropriate tents as much as possible.

If possible we aim at having a limited amount of sleeping spots inside.

If you are unable to provide your own tent, or you wish to sleep inside, make sure to make a note of this during registration.

​

All bathrooms and washing facilities will be deemed gender neutral. All showers have their own stalls for privacy.

​

Food & Drinks

Meals are included in the registration fee and will be provided by the crew from Friday evening until Sunday noon (5 meals).

We have a dedicated catering crew, consisting of several certified chefs. They will offer you a large variety of wholesome foods, as much as possible in line with the theme of the event.

​

Alternatives with regards to food preferences (vegan, gluten-free,...) or allergies (nuts, lactose,...) can be provided. Make sure to make a note of this during registration.

 

At any given time during gameplay you can sit down in our dedicated tavern space and ask the (in character) staff present what they have to offer at that time.

 

We want Rogaria to be an alcohol-light event.

As such we always provide sodas, coffee, water and alcohol-free beer.

Once appropriate, alcoholic beer and limited supply of other alcoholic beverages (eg: wine) are also available.

Sodas, coffee and water are included in your registration fee.

Beer (both non-alcoholic and alcoholic) as well as other beverages are to be purchased using coins which can be purchased from the crew (10 coins are included in your registration fee).

It is also acceptable to bring your own (limited) supply of alcoholic beverages.

​

Play while intoxicated however is strictly prohibited. If at any time the crew deems you not in full control of your actions, we will mark you as "weapon impotent". You can no longer wield a weapon nor participate in any combat scenes during this time.

​

The use of any kind of (recreational) drugs is not allowed and will be cause for immediate removal from the game.

​

Language

All our events will be held in English.

We ask all participants to switch to 100% English upon arriving at the event.

Timetable

Given the nature of our event, setting an exact detailed timetable is not easy. The following is more of a guideline than it is an exact timetable.

Note that we provide the option to arrive as early as Thursday afternoon to setup the larger tents & encampments, though you will have to provide your own food & drinks until Friday noon.

  • Friday:

    • 2:00 pm - Arrival at the location & setup tents

    • 5:00 pm - Kraal Calibration Workshop

    • 6:00 pm - Cross-Kraal Calibration Workshop

    • 7:00 pm - MANDATORY Safety Calibration Workshop

    • 8:00 pm - Dinner (outgame)

    • 9:00 pm - Speeddating Workshop (in character)

    • 9.30 pm - Game Starts

    • Game time ends when you go to sleep

  • Saturday:

    • 9:00 am - Breakfast & Game start

    • Game time ends when you go to sleep

  • Sunday:

    • 9:00 am - Breakfast & Game start

    • 12:00 pm - Game ends

    • 12:30 pm - Cleanup & Debrief

    • You can leave when the location is clean and in coordination with the crew

Price

We have a 3-tiered registration setup with the lowest price for early registrations and prices increase the closer we get to each event. The exact timeframes for these tiers can be found on the event page.

In addition to that there is a difference between participating as a Player Character and a Population Character (aka NPC).

Documents

Here you can find all downloadable documents related to Rogaria. The purpose of these is described throughout the other pages of this website. But for your convenience, we gather them all here as well.

We encourage you to discover these documents throughout the reading of the website first, before downloading them and possible be overwhelmed with information.

Registration

Registrations are done through the Oneiros website.​

​

The process is as follows:

​

  1. Register for an account if you have not yet done so

  2. Login to your personal account

  3. Click through to "Calendar"

  4. Scroll down to the upcoming Rogaria event and open the event page

  5. Select the ticket and amount of said tickets you want to purchase

  6. Click on "Register for this event"

    • Make sure to note in the "Order Notes" if you want to sleep indoors and if you have any dietary restricitions​

  7. Proceed through the check-out

    • Apologies up front for certain parts not being translated to English, we are forced to use a third-party plugin for this part and their translations are not 100% complete​

  8. Details of your registration will be made available through mail​

  9. Like our facebook page to get access to the participants group

  10. Come say "hi" on our facebook participants group.

Health & Insurance Policy

We expect anyone to participate to have a 'Family Insurance' (better known as a 'Familiale Verzekering' in Dutch), to cover any personal liability.

​

We will have certified first aid people at the event in case of any minor incident.

In case of a more serious injury, the crew will either drive you to the nearest hospital or call an ambulance.

Photo Policy

The larp will be documented.

 

The process will work as follows:
One or more photographers will take photos during the LARP.
After the LARP, all photos will be made available to the participants for a set period of time, for example two weeks. During this time, each participant can ask for a photo to be removed from the gallery if they themselves appear in it.


When all photos asked to be removed are removed, the gallery will then be published online.

Afterwards, photos from the LARP may be used in the context of talking about the LARP. The most common use cases are in articles and presentations, as well as just posting about the LARP on social media.

 

Using photos of yourself in different contexts, such as profile photos, is also okay. Remember to always credit the photographer (who will be introduced at a later stage).

Refund and Cancellation Policy

If you cancel your registration 3 months before the start of the event, you are entitled to a full refund.

We will ask someone on the waiting list to fill your spot, who is then able to pay and enter the event.

​

If you cancel later than that, your fee will not be refunded under any condition.

We will open your spot to someone on the waiting list. They will be able to experience the event in a 'pay what you can' option.

You are free to 'sell' your spot to someone else though, feel free to contact us in that case.

​

Privacy Policy

During sign up, we will collect names, email addresses and other practical details from participants of the Rogaria event. This information is used to manage and organize Rogaria. It will only be accessed by the LARP organizers and will not be released to any outside parties.

​

The information is stored on the encrypted database behind the registration website owned and operated by Oneiros VZW. They can only be accessed using a login and 2-factor-authentication.
